Frequently Asked Questions

Chris, creator of Note Hoard

Hi! I'm Chris, the creator of this app. Not seeing answers to your questions here? You can contact me at chris@notehoard.com, @notehoard, or through the support form.

Note Hoard supports six input types:
  • Raw text: Paste anything, or upload plaintext files. If web extraction fails, you can always directly enter the information.
  • Web URLs: We extract public website content automatically. For paywalled or otherwise account-locked content, use the browser extension.
  • Images: We read photos and screenshots directly. Any text in them is captured, and your note covers what the image shows even when there's no text at all. Images can be directly uploaded or sent with links to image content.
  • Files: We extract the text content from uploaded PDF, Word, Excel, and PowerPoint documents. Direct links also work.
  • Videos: Links from YouTube, TikTok, Instagram, Facebook, and X/Twitter are supported. We take these videos and generate a transcript.
  • Podcasts: Links to episodes from Apple Podcasts, Spotify, Pocket Casts, Castro, and most podcast websites. We transcribe the episode and write the note from the transcript.
For urls that have relevant images and text, we will attempt to extract content from both of them.
For example, a tweet with a screenshot, an Instagram post or carousel, or a Threads or Bluesky post with pictures. We will read every image in the post along with any text content.

Organization Logic
Folder logic is applied in stages:
  1. You can set the folder when creating the note.
  2. If nothing is set then manually defined rules are used to try to set the folder.
  3. If still nothing is set then the AI will try to determine the folder.
Once you have created your folders, you can apply settings to control this process. If no rules are set in the folder, the AI will make assumptions based on the name.
Manual rules are one way to control folder assignment. For example, always routing notes from nytimes.com into a News folder. These can be defined based on input type and domain name.
A folder description field exists to provide detailed context for the AI on what belongs in the folder.
If you'd rather organize everything yourself, manual placement when creating notes works too.
Rules for Folder Content
You can also apply rules that define how notes in the folder are handled.
AI Processing Rule: Applies to notes placed in the folder before the AI-folder-processing step. You can turn off AI processing for specific folders.
  • For example, making a bookmarks-only folder that you manually place notes in when you just want to save links.
  • Or creating a News folder (place notes based on news site domain names) that skips AI-processing so you can read the news articles later.
Notion Sync Rule: Applies to any AI processed notes placed in the folder. This lets you send note data to Notion from specific folders, rather than syncing every note you save. It also means you can make Notion sync more granular, since each folder can target a different Notion database.

Yes! Your notes are private to your account. We use industry-standard encryption. Content is not shared with third parties aside from purposes required for app functionality.
AI processing of extracted content happens securely via OpenRouter through model providers with zero data retention policies.

When you submit content, our AI analyzes it to:
  1. Generate a clean title.
  2. Write an effective summary with formatting and length that reflects the complexity of the content.
  3. Determine relevant tags for organization.
  4. Determine the appropriate folder to place the note in, if any.
For videos and podcasts, the transcript and the note are both generated using AI.
AI processing is done by sending the extracted content to a model provider using OpenRouter. We use a variety of models and providers. OpenRouter and all providers we use through them follow a zero data retention policy. View OpenRouter's provider data policies here.
The transcript AI service is a separate provider without a zero data retention policy. It is only used for metadata and transcripts of publicly available videos and podcast episodes (the episode files a show publishes in its podcast feed). Private information is not sent to this provider.

Unprocessed notes haven't been processed by AI, so they don't have a token cost. This means no automatic summary, tags, title, or folder. And for videos and podcasts, it also means no transcript. Your URLs get their content extracted, images have their text captured, files get text extraction, and everything is stored safely.
You can process any note with AI later when you have tokens available. It's perfect for capturing content on the go and choosing what to AI process later.

Tokens are only used up for AI processing:
  • Text, URLs, and plaintext files: 1 token
  • Images and Files (PDF, Word, Excel, PowerPoint): 2 tokens
  • Videos and podcasts are duration-based: 5 tokens up to 5 minutes, plus 1 token per additional minute (a 60-minute podcast costs 60 tokens)
Unprocessed notes don't use any tokens — you can save content and process it with AI later.
You can also set rules to control when AI processing occurs, making it easy to control your token spend.
On paid plans, your token balance refreshes every week with token rollover.

On paid plans, unused tokens roll over from week to week — they don't disappear when your balance refreshes. Each week, your weekly token allotment is added to your existing balance, up to a maximum cap (4x your weekly amount). For example, on the Starter plan you get 90 tokens per week and can accumulate up to 360.

In the app there is clear indication when your balance is low. You can still save content, but it will not be automatically AI processed if there are no tokens. Tokens refresh weekly, so you'll have a fresh batch soon. Once you have tokens again, you can process all your saved notes with one click. Or upgrade your plan for more tokens.

When you submit a video or podcast link, we use AI to generate the transcript first, then write the note from it with timestamped key moments. A podcast link can come from Apple Podcasts, Spotify, Pocket Casts, Castro, or the show's own website. Both cost the same and scale with duration: 5 tokens for the first 5 minutes, then 1 token per additional minute. Videos and podcast episodes are limited to 4 hours. If you use unprocessed notes (skip AI processing), the link and its details are saved for free, and you can process it with AI later when you have tokens available.

Uploaded files are restricted to specific file types and maximum sizes:
  • PDF, Word, Excel, PowerPoint: maximum 10 MB
  • Image (JPEG, PNG, WebP, GIF, HEIC): maximum 5 MB
  • Text file (.txt, .md, .csv, .log, .json, .xml, .html): up to 1 MB, but practical maximum is the tier's character limit.
We will attempt to resize larger images for your convenience, as well as convert unsupported image formats.
For each tier, there is a limit on the length of content sent to the summarize AI:
  • Free Trial: 100,000 characters
  • Starter: 400,000 characters
  • Pro: 400,000 characters
  • Power: 400,000 characters
If content is too long, it will be truncated.

Yes. Everything AI generates — the title, summary, and tags — is fully editable. Open any note and make changes anytime. Your edits are saved immediately.
You can also fully write your own notes. These can remain unprocessed or you can run them through AI processing and continue editing them afterwards.

You can connect your Notion workspace in the app. Once connected, you can sync all notes, individual notes, or entire folders to a Notion database of your choice.
You pick a default Notion database for syncing. But you can also define specific Notion databases on a folder level.
Syncing is only supported for AI-processed notes. Synced data includes the title, tags, notes, date created, type, and source url if available.
Syncing is one-way: Note Hoard pushes content into Notion. Your existing Notion content is not affected.
A valid database must have these properties: Name (Title), Tags (Multi-select), Date Created (Date), Type (Select), and Source URL (URL)

Your notes stay fully accessible after cancellation — nothing is deleted. You can still view and export all your existing notes — including a full export of everything from Account → Your data. Your summaries, titles, tags, and folder organization are all preserved. And you can still use Note Hoard to save content without AI processing.
You just won't receive any new tokens until you resubscribe.

Go to the Account page, find Your data, and choose Export all my data. We build a zip containing every note as a markdown file in a folder structure that matches yours, every image and document you uploaded stored next to its note, and a data folder with a machine-readable copy of your notes, folders, tags and settings.
It takes a few minutes for a large account, and you don't have to wait on the page — come back and the Account page will have your download ready. The link works for seven days, and you can request a new export every six hours.
Every plan can export, including the free plan. Deleting your account removes the export too, so download it first if you want a copy.
